What to expect you first 90 days onboarding with Active Steps
Your family has been approved for services at Active Steps. If new to services, a Functional Behavior Assessment (FBA) will be completed within 90 days to assess ongoing needs. If transferring from another agency, we’ll ensure a smooth transition without the need for an FBA, but will gather necessary documentation. During this time, we’ll collaborate with you to review records, observe your child, and meet with the Behavior Analyst to understand your child’s needs and goals. We're here to guide you every step of the way!

Two-hour remote or in-person meeting with a Behavior Analyst to complete a clinical interview to gather background information, and the Vineland assessment to get an understanding of your child's skills. Translator can be made available & your child does not need to be present

This process includes one to three observations of your child in natural settings. Following the observations, the behavior analyst will analyze the data to identify the behavior’s cause and create a personalized treatment plan that aligns with your child’s needs and family goals, supporting independence and success.

Our Process
At Active Steps, we take a unique, familycentered approach to services, recognizing that support extends beyond the child. Whether or not a family has received services before, we believe a thoughtful, step-by-step introduction lays the foundation for long-term success.

Once you choose Active Steps or are assigned to us through your insurance, we will receive authorization for an initial assessment within 5-7 business days. After we receive the authorization, you will be contacted within 48 hours to begin the onboarding process and schedule your assessment.

During the onboarding process, you will be asked to provide the following documentation: insurance ID, summary of benefits, diagnosis, availability, and signed consent forms. Once all onboarding documents are completed and verified, your assigned Behavior Analyst will contact you within 48 hours to schedule your assessment.

The FBA must be completed within 90 days, but at Active Steps, we strive to complete the process within 30 days. This process includes a caregiver interview, observations, and data collection. We are assessing what services your family may need (ABA family support only, one-on-one therapy/support with ABA family support, social skills, school support, Telehealth, etc.) While we await approval for the assessment, a service coordinator will stay in touch with you to begin planning for ongoing services.

Once the assessment is submitted to the insurance company, we expect an authorization for services within 7-14 business days. After receiving the authorization, you can expect a call from your assigned clinical team to schedule your orientation.

Service orientation should occur within the first two weeks of receiving your child’s approved authorization for ongoing services. This orientation will be conducted in two parts, through online video calls with a team member, to ensure you are fully informed about expectations, systems, and the process for services throughout your time at Active Steps.

After orientation, your service coordinator will begin working on a start date for your child’s one on one therapy/support services. Meanwhile, your clinical team will schedule recurring ABA family support sessions, typically for a few weeks before direct therapy starts, to ensure alignment and success. These support sessions will continue alongside direct services as part of the ABA therapy model.

This ensures a smooth introduction to services, an updated treatment plan, and sets the staff and your child up for successful sessions. It also allows your child to begin receiving services promptly, even if direct staff isn't immediately available.

Once direct staff are introduced to your child's case, they will typically be accompanied a few times by either a lead behavior technician, clinical supervisor, or behavior analyst. The assigned direct staff have undergone extensive training and undergo ongoing competency check-ins throughout their time at Active Steps.

At Active Steps, our goal is to ensure you and your child receive a minimum of 80% of the authorized services. We will review these utilization numbers monthly with you, evaluating availability and service expectations to ensure we’re working together to meet this goal, including ABA family support services.

Every 6 months, your behavior analyst will review progress and data with you to prepare an updated progress report for the insurance company. This report will include recommended treatment for the next 6 months, as well as the goals agreed upon through collaboration between you and the behavior analyst, tailored to your child's needs, challenges, and aspirations.

Fading ABA services involves gradually reducing the intensity or frequency of therapy as the individual masters targeted skills and gains independence. This step occurs when the child consistently shows progress, and support is reduced to encourage further independence while maintaining success and learned skills. The decision to fade services is made collaboratively by the clinical team, behavior analyst, and family, based on ongoing assessments and progress monitoring.

Graduation from ABA therapy is typically determined when the individual has mastered the targeted skills, made significant progress toward their goals, and can consistently apply the learned behaviors independently across various settings. This decision is made collaboratively by the clinical team, the behavior analyst, and the family, based on ongoing assessments and progress monitoring. Graduation may also be considered when the child no longer requires intensive support to maintain progress and can successfully navigate everyday challenges on their own.
The Onboarding Departments
1. Assigned Clinical Team
Your assigned clinical team will work with you on all aspects of your child’s care and treatment. You’ll meet regularly with them to review and adjust the treatment plan as needed.
3. Assigned Regional Service Coordinator
Your assigned service coordinator will be your main point of contact for all scheduling matters related to your child, including cancellations, availability changes, and staff adjustments.
2. Client Relations and Onboarding Coordinator
The Client Relations and Onboarding Coordinator will guide you through the onboarding process, assist with paperwork, and ensure a smooth start to your ABA services. They’ll provide ongoing support to keep you engaged and ensure successful treatment outcomes.
4. Insurance Eligibility and Authorization Coordinator
The Insurance Eligibility and Authorization Coordinator ensures your insurance is verified and treatments are authorized. They’ll work with you and the team to resolve any issues and ensure timely service delivery.

The BCBA designs your child's personalized treatment plan, monitors their progress, and supervises the entire therapy team. They ensure the therapy is effective and ethically sound. BCBAs hold a master’s degree in behavior analysis and certification.

The supervisor supports the BCBA by implementing therapy plans, supervising BTs, Providing ABA family support, and helping track progress. They are enrolled in master programs with experience in behavior analysis.

BTs work directly with your child, delivering one on one therapy and collecting data on their progress. They follow the BCBA’s plan and reinforce positive behaviors. All our BTs are certified through the BTL1 certificate program.

Your child’s progress is a team effort, and parent involvement is key! Your BCBA and team will keep you informed about your child’s development through regular updates, meetings, and discussions. You’ll be encouraged to ask questions and share any insights, so you can be an active part of your child’s journey.
The BCBA leads the team, creating and adjusting therapy plans based on your family’s needs. The supervisor assists with implementing these plans and overseeing the BTs, who provide the daily, hands-on therapy. This collaborative approach ensures your child’s treatment is consistent and effective. The team regularly communicates to track your child’s progress and make any necessary changes to the therapy.
