Workforce Compliance Coordinator
Type: Full-Time | Remote | M–F 8:30 AM – 5:00 PM
Compensation: $20.00–$25.00 per hour
Location: Remote, must reside in California
Qualifications:
Bachelor’s in HR, Healthcare Administration, Business Administration, or related field preferred but not required.
Credentialing/compliance certificates (e.g., NAMSS) are a plus.
1–3+ years in HR compliance, credentialing, auditing, or similar roles.
Experience with healthcare/ABA credentialing or payer portals (CAQH, Availity) strongly preferred.
Payroll/timecard audit experience is a plus.
Strong knowledge of credentialing standards and regulatory requirements.
Exceptional attention to detail and document management skills.
Strong communication and follow-through with staff and external agencies.
Ability to manage confidential information with professionalism.
Experience with systems such as Rippling, Measure, ATS, CAQH, or payer portals.
Job Summary:
Active Steps is seeking a highly organized and detail-oriented Workforce Compliance Coordinator to ensure all employee credentials, training records, timekeeping, and documentation meet regulatory, payer, and contractual standards. Reporting to the Head of HR, this role is essential in maintaining audit-ready records, supporting credentialing for clinical staff, overseeing compliance processes, and partnering closely with HR, Clinical, Training, Revenue, and Contracting teams.
Key Responsibilities:
Credentialing & Recredentialing
Manage credentialing and recredentialing for clinical staff across insurance plans, certification boards, and agencies.
Submit applications, maintain credentialing files, and conduct quarterly audits.
Monitor license and certification renewals; support staff through the credentialing process.
Update provider data in CAQH, Availity, payer portals, and maintain login credentials.
Roster & Payer Management
Maintain School District, NPA, and payer rosters.
Process provider additions, terminations, location changes, and annual updates.
Manage supervisor assignments in Measure and conduct regular audits.
Specialized Program Compliance
Oversee BCAT, QASP-S, Tricare, and school district credentialing requirements.
Ensure compliance with specialty and payer-specific programs.
Regulatory Compliance & Documentation
Ensure compliance with federal, state, payer, and contractual standards.
Maintain credentialing manuals, compliance records, and audit-ready personnel files.
Support policy updates and regulatory procedure implementation.
Training & Cross-Department Collaboration
Train staff on credentialing and insurance processes.
Partner with HR, Training, Clinical leadership, Revenue, and Contracting teams.
Communicate proactively on credentialing needs, renewals, and missing documentation.
Training & Personnel File Compliance
Track required trainings (HIPAA, Mandated Reporter, RBT, CEUs, etc.).
Follow up on overdue or missing documentation; maintain compliance systems.
Timekeeping & Payroll Compliance
Perform biweekly payroll/timecard audits and resolve discrepancies with Payroll/Finance.
Custodian of Records
Maintain secure and compliant personnel documentation.
Respond to approved internal/external record requests and ensure retention compliance.
